Do we need to replace our existing specialist systems? +
No. ServicePilot operates as a submission and processing layer on top of existing systems. DMS, eFile, and specialist systems remain untouched. We improve the quality of incoming submissions and the processing flow, not the archiving or the specialist system behind it.
How long does the rollout take? +
From the initial meeting to the first real case in the system typically takes three to four weeks, assuming scope and data protection documents are agreed upon promptly. We provide all templates and actively support the process.
Who is responsible for data protection? +
The municipality remains the data controller under GDPR. We act as data processor under Art. 28 GDPR. Before the pilot begins, we sign a Data Processing Agreement and provide TOMs, a deletion concept, and a list of sub-processors. Our infrastructure runs exclusively on EU servers.
Can the solution be connected to our existing systems? +
Yes, in the future. During the pilot, we initially operate without direct system integration, which significantly reduces the onboarding effort. The platform is API-first by design, so connections to DMS, eFile, or specialist systems are possible in a later phase.
How much effort does this create for our IT department? +
Very little. ServicePilot is fully cloud-based and requires no local installation. Your IT team only needs to grant access for the relevant case workers. We handle all further steps: setup, configuration, and training.

A Founding Team from Thuringia Focused on Administrative Reality

Project Digital Administration is being built in Erfurt. We are a small, interdisciplinary team with backgrounds in product development, technology, and the public sector. Our goal is a digital transformation of public administration that genuinely works in everyday practice.

The project is currently in the pre-founding phase. We are developing the Golden Path Demo and speaking with municipal pilot partners to jointly validate assumptions about processes, roles, and data fields.

Product development follows clear quality principles: accessibility as a baseline, Privacy by Design, EU-only infrastructure, and a well-thought-out role model for all stakeholders.

Note on Compensation: As we are currently still in the founding phase, participation is initially without fixed remuneration. The goal is to jointly build a viable product and company. When our website is accessed, the hosting provider automatically records so-called server log files. These contain, among other things:

  • IP address of the requesting device (anonymised)
  • Date and time of access
  • Name and URL of the requested resource
  • Browser and operating system used
  • HTTP status code

This data is processed on the basis of Art. 6(1)(f) GDPR (legitimate interest in secure and stable operation). Log files are automatically deleted after a maximum of 30 days.

A data processing agreement in accordance with Art. 28 GDPR has been concluded with the hosting provider. The servers are located exclusively in Germany and the EU.

When you use our contact form, the data you enter (name, email address, organisation if applicable, subject and message) will be forwarded to us by email to process your request. This data is not stored on the server. It is forwarded in real time only and then discarded.

Processing is based on your consent pursuant to Art. 6(1)(a) GDPR, which you grant by checking the privacy checkbox in the form. You may withdraw this consent at any time with future effect (e.g. by email to info@prodifair.de).

The technical processing of the form is handled via a PHP script on STRATO GmbH servers in Germany. No data is transmitted to third parties.
